Communications Update

Hi, everybody. I'm sending out just a quick review of current communications platforms.

When you want to share with PTSA Board members
At last night's board meeting, we agreed to stop using Simply Circle to share board news/docs and start using email of choice to share news and Google Docs to share files. I see that Elizabeth has shared a few docs, but I can't find any shared folder. When she's back in town, I'm sure she can direct us to where files should go. In the meantime, I'm sharing an Excel spreadsheet of the email addresses I collected this summer for our board in my own Google Drive. Please review and updated as needed. I'll move it to Elizabeth's folder as soon as I know where it is.

When you want to share with school community
We currently have three official ways to get the word out about events/news to our school community. For all three you can email [email protected], or you can email me directly ([email protected] for website and e-blast updates or Julie Bradley [email protected] for newsletter updates).
  1. website - Paula updates the calendar and front page with school news; I update the calendar and pages related to PTSA. I will also be setting up a site specifically for the direct donation drive, which we'll link to from our PTSA page and direct people to via email. I think it would be great to set up a page for each PTSA Committee. If your committee would like that, please send me what you'd like to see included.
  2. weekly newsletter - Julie Bradley puts together a PDF every Wednesday and Karen Putnam sends out Thursday morning through School Messenger. I archive these on our website.
  3. PTSA e-blasts - I can send out e-blasts as needed (i.e. for urgent news, fundraising, special events) via Mail Chimp to everyone who's subscribed to our list (currently 350+ people, but certainly not the whole school). We could consider a campaign to get more people to subscribe if we thought it necessary.
Social media is another great way to connect with our community, but we agreed to keep this organic and unmonitored. Each of you is welcome (and encouraged) to help post news that you think is relevant and would benefit the community. I'm sure you all know how to keep it positive and productive. The sites I'm aware of and have participated in include: If you know of others that are JAMS only, let me know and I can help post news there, too.

Deadlines
  • Friday - Please send me any committee updates by Friday to see them live on the website the following Monday.
  • Tuesday - If something urgent comes up that's not on the website but that needs to be included in the weekly newsletter, send it to Julie by Tuesday evening at the latest.
  • 24 hour notice - If there's something that's an absolute emergency, Paula has the ability to use School Messenger to communicate with families. If possible, please know that it might take at least a day to get the word out. I can also send out an e-blast via Mail Chimp, but this only reaches subscribers, not the whole community.
